Bulk certificates from one design and a list of names

The evening after a school prize day, a college fest or a two week internship, somebody is sitting with a list of names and one certificate design. Done by hand that is one copy of the same file per person, every name retyped, and at least one spelling nobody notices until the ceremony. This page does the retyping. You place the name once, paste the list, and a finished certificate for every name appears below, each one shown exactly as it will print.

There are two ways in. Pick one of our 94 certificate designs if you have nothing ready, covering participation, achievement, appreciation, course completion and internship. Or upload the certificate your institute already uses, as a PDF or a photograph of the printed one. Nothing is placed for you on an uploaded design, and that is deliberate. We have never seen your layout, and a guessed position that lands on your crest is slower to undo than drawing the box yourself, which takes about three seconds.

A real certificate carries more than a name. Certificate numbers that count up through the batch, two or three signatures with the signer and their role under each rule, a school crest in the corner, the date, and a QR code that can carry the number printed on the same page so an employer can check it later. Each of those is a button, and each one lands exactly inside the box you draw.

Where the rest of the data comes from is up to you. A column can be typed here, one value per line in the same order as the names, which is what most people want when the information lives in a WhatsApp message. If it is already in a spreadsheet, upload the xlsx, csv or txt and its column headings appear ready to place. Both routes fill the same boxes, and the previews update as you type either way.

Simple, practical guidance

How to use Certificate Generator

Everything happens on one screen. You choose what goes on the certificate, drag a box where it belongs, and every name on your list turns into its own certificate underneath, so you are reading the real thing rather than imagining it.

  1. 1

Pick one of our certificates, or upload your own design as a PDF or picture.

  2. 2

Paste the names, one on each line, or upload an Excel, CSV or txt file.

  3. 3

Drag a box where the name goes, then add the date, number, signatures, logo or QR code the same way.

  4. 4

Read the previews, then download one PDF with every certificate in it.

Names, dates and numbers are written as real PDF text on top of the design, so they stay sharp at any zoom and print clean on A4 or A5. Our own certificates stay vector artwork from end to end. A design you upload yourself is placed at about 216 dpi, which is well past what a laser printer resolves.

Know how your file is handled

The certificates are built in your browser and the finished PDF never goes anywhere near a server. Names typed into the box stay in the tab. The one thing that does travel is a spreadsheet, which is read on our server to pull out its rows and headings and is thrown away as soon as they come back.

Check before you share

A free batch makes 10 certificates and you get 3 batches in a day, which covers most classrooms and small events. Pro raises a batch to 100 and lifts the daily cap. Nothing is watermarked at either level.

Questions people ask

Certificate Generator FAQ

Batch sizes, Excel columns, your own design, signatures, certificate numbers and QR codes.

How do I make certificates in bulk from an Excel sheet?

Upload the xlsx, csv or txt under the Name button. The first column of names fills the name box, and every other heading shows up under From list, ready to drag onto the certificate. Each row becomes one certificate in a single PDF.

Can I use my own certificate design?

Yes. Drop your certificate on the upload box at the top of this page as a PDF or a picture, and it is used exactly as it is. You then drag a box over the blank line where the name should print. Your design is never redrawn or approximated.

How many certificates can I make at once?

A free batch makes 10 certificates and you can run 3 batches in a day. Pro makes 100 in one batch and removes the daily limit. The certificate itself, the designs, the signatures and the previews are free either way.

Is there a watermark on the certificates?

No. Free and Pro both download clean, with nothing added to the page and no sign-up asked for before you see the result.

Can I add certificate numbers that count up?

Yes. Pick Number, draw the box, and set the pattern. Something like CERT/2026/{0001} gives 0001, 0002, 0003 down the batch, and the digits inside the braces decide the padding. You can also start from any number you like.

Can I put two or three signatures on one certificate?

Yes, and most institutes do. Pick Signature, draw the area where it should sit, then sign by typing, drawing or uploading a scan. You get the mark, a rule under it, the signer name and their role, all moving together. Any line you do not want can be removed on its own.

What does the QR code carry?

Whatever you decide. Add the name, the certificate number printed on the same page, or the position in the batch, inside a link of your own such as yoursite.com/verify/{no}. The panel shows what the first certificate will actually read before you download.

Does my list of names get uploaded anywhere?

Names you type stay in your browser and never leave it. A spreadsheet is the exception: it is sent to our server to be read, because xlsx files carry formulas, dates and cell types that need a proper parser, and it is discarded once the rows are returned. The certificates themselves are always built on your device.

Can I put the course, grade or department on the certificate too?

Yes. Use From list. Add a column by name, type its values one on each line in the same order as the names, and drag a box where it should print. If the data is already in a spreadsheet, upload it and use the column instead of typing.

What if a name is in Hindi or has matras?

Devanagari, Gurmukhi, Bengali, Tamil and the other Indic scripts are supported, including matras and conjuncts. Paste the names as they are. Pick a font that carries the script if the preview shows boxes instead of letters.

How do I send each person their own certificate?

Download the batch, then run it through Split PDF with one page per file. You get one PDF per person, named in order, ready to attach or send on WhatsApp. Split PDF

The certificate PDF is too large to email. What now?

Compress it. A batch made from an uploaded photograph of a certificate is mostly image data and usually drops a long way at the Balanced setting with nothing visible changing. Compress PDF
