Organize and combine PDFs cleanly

When you merge several PDFs, decide the reading order before you start — put the cover or contents page first and add appendices last, so you don't have to reshuffle afterwards. If a document has pages you don't need, remove them first; a smaller, tidier source makes the final file easier to review and lighter to share.

Shrink file size without wrecking quality

Most email and upload limits sit around 10–25 MB, so compression is usually about getting under a cap rather than making a file as small as possible. Start with a balanced setting and only step up to maximum compression when size truly matters — aggressive settings soften photographs and fine scanned text. Text-heavy PDFs that are already optimized may barely shrink, and that's normal.

Convert to Office formats you can actually edit

PDF stores how a page looks, not its underlying structure, so some rebuilding is always involved. Simple, text-based layouts convert to Word or Excel far more cleanly than multi-column brochures, forms, or scanned pages. If the PDF is a scan, run OCR first so there is real text to recover; otherwise a converter only sees images.

Turn images into PDFs (and back) the right way

For screenshots, diagrams, and documents with sharp text, PNG keeps edges crisp; JPG produces smaller files and suits photographs. When you build a PDF from images, check the page order and choose whether pages should match the image size or fit to A4 for consistent printing. Going the other way, pick a higher resolution when small text needs to stay legible.

Protect documents without over-relying on a password

A PDF password discourages casual opening, but it is not a substitute for good judgement about what you share and with whom. Use a strong, unique password, share it through a separate channel, and remember that a forgotten password may be impossible to recover. For visible ownership or review marks, a watermark is clearer than encryption.

Recognize and read text from any source

OCR adds a searchable text layer to a scanned PDF so you can select, copy, and search its contents — clean scans at 300 DPI or higher recognize most accurately. To pull text out of a single picture or screenshot, image recognition works right on your device. For long documents, an EPUB reader is more comfortable on small screens than a fixed PDF page.
